How it is put together

How a portal enquiry becomes a booked viewing

Speed is the entire point of this flow, so everything that can be decided without a person is, and everything commercial stops immediately.

  1. 01

    Capture

    Portal feeds, website forms and WhatsApp all land in one queue with the source recorded. The response clock starts at receipt, and it is measured.

  2. 02

    Respond and qualify

    An immediate, specific reply about the property enquired on, then your qualification questions asked conversationally. Answers are stored as fields, not as a transcript to be read later.

  3. 03

    Match

    Live availability, price band and area matched against the listing system, with sensible alternatives where the original is gone. Under-offer and withdrawn states are respected absolutely.

  4. 04

    Book or hand over

    A viewing that fits calendar and access rules is booked. Anything about price, terms, offers or negotiation is handed to the named agent with the full thread — those conversations belong to a person.

  5. 05

    Write back

    Lead, source, qualification answers, viewing and outcome written to the CRM as they happen, so pipeline reporting stops depending on agents updating records at the end of the week.

What we will and will not do with it

Stated plainly, and without claiming a certification we do not hold. If a requirement here is harder than what is written, say so on the call and we will tell you whether it is buildable.

No price negotiation and no commitments

The agent negotiates. The system quotes only the published asking price and passes anything beyond that to a person. An automated system implying flexibility on price creates a commercial problem your agent then has to unwind.

Nothing about a listing is invented

Generated descriptions are built from the structured property record only. If the record does not say the boiler was replaced last year, no description will. Advertising statements in property are regulated in most markets, and a hallucinated feature is an advertising breach.

Enquirer data stays in your CRM

Contact details, budget and circumstances are written to your own system, not accumulated in a vendor tool. Where a jurisdiction requires it, the model calls can run on infrastructure inside that jurisdiction.

Proof

Availability, booking and payment without the phone call

NUTMEG is sports-field booking rather than property, but it is the same mechanic: real-time availability, a slot held and confirmed on mobile, and payment taken — removing coordination that used to run through one person. A viewing calendar is that problem with access arrangements added.

Ask us something else

Will buyers realise they are talking to a bot?

They should, and it should say so. What buyers actually mind is a slow or useless response, not an honest automated one that answers the question and books them in. Pretending to be an agent is a short-term trick that costs trust at the viewing.

Can it handle enquiries in more than one language?

Yes, and in most markets that is worth more than any other feature on this page. The reply happens in whatever language the enquiry arrived in, and the structured fields are stored in one language for your CRM.

What stops it from showing a property that is already sold?

Availability is read from your listing system at the moment of the reply, not from a cached index. Under-offer and withdrawn states are hard blocks. If your listing system is not kept current, that is the first thing to fix and we will say so.

Does it replace our agents?

It replaces the part of their job that is answering the same six questions at eleven at night. Viewings, negotiation and relationships are the job, and those are exactly the parts we route to a person.

Can it write our listing descriptions?

It can draft them from the property record in your house style, per portal format, for an agent to approve. It will not add a feature the record does not contain, because in most markets that is an advertising breach rather than a creative flourish.

We manage rentals rather than sales. Is this relevant?

More so, usually. Maintenance routing, arrears chasing, renewals and inspections are repetitive, scheduled and high-volume, which makes them a better automation target than sales enquiries and a lower-risk place to start.
